Guide
What can AI actually do in a small business’s software?
The short answer
AI can do real office work inside your software: read purchase orders and enter them, sort email and draft replies, and answer customer questions from your own information. It works best once the business runs on one clean system, with each step checked and access limited to what it needs.
Work it does well today
- Reading documents and entering them: purchase orders, invoices, delivery notes, forms. It pulls out the fields and fills them in for someone to approve.
- Sorting and answering email: sending each message to the right person, and drafting a reply for them to check.
- Answering customers on your website, from your own prices, hours and policies, rather than from whatever is on the internet.
- Summing things up: a week of job notes, a long email thread, what changed on an order.
What it needs first
AI is only as good as what it can see. If your information is split across spreadsheets, paper and five tools, it has nothing reliable to work from. That’s why we build the system first, and add AI to it once the business runs on it.
Keeping it in check
Each step gets checked. Early on, a person approves what the AI does before it counts. As it proves itself, you decide what it may do on its own.
It sees only what we give it access to. An agent that enters orders doesn’t need to see payroll, so it can’t.
Your data stays yours. AI never sees it while we build your software.
Where to start
Pick the task someone on your team does over and over, by hand, from documents or email. It’s usually the clearest win, and the easiest to check.
