Signs your business has outgrown spreadsheets

The short answer

You’ve outgrown spreadsheets when the numbers stop matching, when one person is the only one who understands the file, and when you find mistakes because a customer told you. The fix is to move the most painful process first, not everything at once.

The signs

  • The same number is different in two places, and nobody knows which one is right.
  • One person built the sheet, and everyone is nervous when they’re on vacation.
  • Copies go round by email, and people work from last week’s.
  • To know where a job stands, you call someone.
  • Customers find the mistakes before you do.
  • Job photos and notes live in someone’s phone.

Why it happens

Spreadsheets are a fine way to start. They’re flexible, and everyone knows them. But they don’t stop two people changing the same thing, they don’t check what’s typed in, and they don’t tell anyone when something needs doing. As the business grows, people fill those gaps by hand, and that’s where the time and the mistakes go.

What to do about it

Write down how the work actually moves today: who does what, in which file, and what gets copied where. That’s most of the design.

Then move the one process that hurts most into software built for it. Keep the spreadsheets for everything else until it’s their turn. With software built this way, the first piece takes weeks, not months.
